Company Information

  • Company: MENTOREIS LLC
  • Platform: SellerGenix
  • Address: 2501 Chatham Road, STE 5143, Springfield, IL 62704, United States of America
  • Website: www.sellergenix.io
  • Email: [email protected]

1. Scope of This Policy

This Privacy Policy explains how MENTOREIS LLC ("SellerGenix", "we", "us") collects, uses, shares and protects information when you visit www.sellergenix.io or use the SellerGenix platform, including GenixBoard, GenixAds, GenixEngage and GenixCreative (together, the "Service").

We are responsible for the personal information of our account holders, website visitors and referral partners. For data we receive from Amazon about your business and your orders, we act on your behalf: we process it only to provide the Service to you, the seller who authorized the connection.

The Service is built for businesses that sell on Amazon. It is not intended for consumers or for anyone under 18.

2. Information We Collect

2.1 Account information

  • Name, email address, company name and, if you choose to provide it, a phone number.
  • Your workspace, the team members you invite and the role each one holds (owner, admin or viewer).
  • Sign-in records. We use passwordless sign-in: we email you a one-time code instead of storing a password.

2.2 Amazon data you authorize us to access

When you connect your Amazon Seller Central and Amazon Ads accounts, Amazon gives us access through its official Selling Partner API and Amazon Advertising API. Depending on the features you use, we receive:

  • Orders and order items: order IDs, dates, products, quantities, prices, promotions and status.
  • Financial data: Amazon fees, settlements, refunds, reimbursements and other financial events.
  • Inventory, catalog and listing data: ASINs, SKUs, titles, images, prices, stock levels and sales rank.
  • Sales and traffic reports.
  • Advertising data: profiles, campaigns, ad groups, keywords, targets, search terms, budgets, bids and performance metrics, including data Amazon delivers through Amazon Marketing Stream.

Amazon customer information is minimized

We do not request or store Amazon buyers' names, street addresses, phone numbers or plain-text email addresses. Order records keep only the city, state or region and country for regional reporting. Where GenixEngage needs to recognize a buyer (for example, to honor an opt-out), we store only a one-way hash of the buyer's email address, never the address itself.

2.3 Content you provide

  • Product costs, general expenses and the receipts or other files you upload.
  • Product photos, brand details, listing text and instructions you submit to GenixCreative, and the listings and images it generates for you.
  • Images you turn into Image Links.
  • Messages and attachments you send through the Support page or by email.

2.4 Billing information

  • Payments are collected by Stripe. Your card details go directly to Stripe; we never receive or store full card numbers.
  • We keep Stripe customer and subscription identifiers, payment status, invoices and receipts.
  • If you verify a card to claim starter credits, we store the card fingerprint Stripe provides (an identifier, not the card number) and a salted hash of your IP address, only to prevent the same offer from being claimed more than once.

2.5 Referral program information

If you join the referral program, we keep your referral code, the sign-ups and payments attributed to you, your commissions and the payout details you enter (PayPal email or bank account details). Full account numbers are kept on our servers and are never sent back to your browser.

2.6 Waitlist information

If you join the waitlist, we keep your name, email, company, the Amazon marketplaces you sell in, your monthly sales range, the seller software you mention, whether you run ads, how you heard about us, any referral code, your language and, if you give it with consent to receive messages, your phone number. We use this only to decide the order of invitations and to email you about your place. When you create your account, your details and phone number move to your profile, where you can change or remove them. If you never create an account, you can ask us to delete your entry at any time.

2.7 Technical and usage information

  • IP address, browser and device information, and server and error logs.
  • Pages and features you use inside the Service, recorded by our own first-party tools.
  • An activity and security log of important actions in your workspace (for example, connecting Amazon, changing a bid or inviting a member).
  • Cookies, described in section 9.

3. How We Use Information

  • Provide the Service: import and reconcile your Amazon data, calculate profit, fees, refunds and inventory, and show your reports.
  • Carry out actions you request: send bid, budget, status, negative-keyword and campaign changes to Amazon Ads when you confirm them, and ask Amazon to send review requests when you turn GenixEngage on.
  • Generate content: create listing text and images with GenixCreative from the information you provide.
  • Billing: process subscriptions, credit purchases, refunds and referral commissions.
  • Support and communication: answer your requests and send service emails such as sign-in codes, receipts and important account notices.
  • Security and fraud prevention: protect accounts, detect abuse and enforce our terms.
  • Improve the Service: understand how our own product is used. We do not use Amazon data for this purpose beyond serving the seller it belongs to.
  • Legal obligations: keep records required by tax and other laws and respond to lawful requests.

If you are in the European Economic Area or the United Kingdom, we rely on these legal bases: performance of our contract with you, our legitimate interests (security, fraud prevention and improving the Service), compliance with legal obligations, and your consent where we ask for it.

What we do not do

  • We do not sell personal information or Amazon data.
  • We do not use your information for third-party advertising, and we do not use advertising cookies.
  • We do not contact Amazon buyers directly. Review requests are sent by Amazon through its official Request a Review feature.

4. Amazon Information

We handle data obtained from Amazon in line with Amazon's Data Protection Policy and Acceptable Use Policy:

  • Amazon data is used only to provide the Service to the seller who authorized our access, and is shown only to that seller's workspace.
  • We never sell Amazon data and do not disclose it to other users or outside parties, except to the service providers listed in section 5 that we need to run the Service, or where the law requires.
  • We do not aggregate Amazon data across sellers, use it for benchmarking or competitor analysis, or use it to market to Amazon customers.
  • Access is limited to systems and authorized personnel who need it to operate and support the Service, and is logged.
  • Personal information from Amazon orders is minimized as described in section 2.2.
  • If we detect a security incident involving Amazon data, we will notify Amazon at [email protected] within 24 hours of detection and notify affected customers without undue delay.

We may also disclose information when required by law, court order or a valid request from a public authority, to protect the rights and safety of our users or of SellerGenix, or as part of a merger, acquisition or sale of assets, in which case this policy will continue to apply to your information.

6. Security

  • Encryption: data is encrypted in transit with TLS and at rest with AES-256 on our database and storage infrastructure (Supabase, running on Amazon Web Services).
  • Workspace isolation: database row-level security keeps each workspace's data separate from every other workspace.
  • Role-based access: each team member is an owner, admin or viewer; viewers have read-only access.
  • Amazon credentials: Amazon authorization tokens are stored encrypted, are used only by our servers and are never sent to your browser.
  • Buyer emails: never stored in plain text; only one-way hashes are kept.
  • Sign-in: passwordless one-time email codes that expire after 10 minutes, with a limit of 5 attempts per code.
  • Payments: card data is handled by Stripe and never touches our servers.

No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If we learn of a security incident affecting your personal information, we will notify you and the relevant authorities as required by applicable law.

7. Data Retention and Deletion

  • While your account is open: we keep your account data, imported Amazon data and uploaded files so your reports and history stay available.
  • Disconnecting Amazon: when you disconnect an Amazon account, we delete its stored authorization and stop syncing immediately. Data already imported stays in your workspace for your historical reports until you ask us to delete it or close your account. You can request deletion of your Amazon data at any time through the Support page.
  • Closing your account: after you ask us to close your account, you have 30 days to download your data. After that period, your workspace data, including Amazon data and uploaded files such as receipts, is permanently deleted. Copies in backups are removed as those backups expire.
  • Records we must keep: invoices, payment and tax records are kept for as long as the law requires.
  • Shorter periods: raw copies of Amazon reports are purged on a rolling schedule of 30 to 90 days after processing; support tickets are generally deleted about two years after the last activity; Image Links stop working after 14 days.

You are responsible for keeping your own tax and accounting records for the periods required by law. For U.S. sellers, the IRS generally recommends keeping records for up to 7 years.

8. Your Rights

Depending on where you live, you may have the right to:

  • Access the personal information we hold about you and receive a copy in a portable format.
  • Correct inaccurate information.
  • Delete your information.
  • Object to or restrict certain processing.
  • Withdraw consent where we rely on it.
  • Opt out of the sale or sharing of personal information. We do not sell or share personal information for cross-context advertising.
  • Not be discriminated against for exercising these rights.

How to make a request

Use the Support page in the app or email [email protected]. We may need to verify your identity. We respond within 30 days, or sooner where the law requires. If you are in the EEA or the UK, you may also lodge a complaint with your local data protection authority.

If an Amazon buyer contacts us about their data, we will refer the request to the seller whose data it is and help that seller respond.

9. Cookies

We use only cookies and similar storage needed to run the website and the Service:

  • Sign-in session cookies that keep you logged in.
  • Preference cookies, such as your language and active workspace.
  • Referral cookies that attribute a sign-up to the partner who referred you, kept for up to 90 days.

We do not use advertising cookies or third-party analytics cookies.

10. International Transfers

SellerGenix is operated from the United States. Our service providers may process information in the United States and other countries where they operate. Where the law requires, transfers are covered by appropriate safeguards such as standard contractual clauses in the providers' data processing terms.

11. Changes to This Policy

We may update this policy as the Service changes. We will post the new version on this page with a new date and, for material changes, notify account owners by email or in the app before the change takes effect.
